Re-enrolment in 4th year of thesis or more

The "normal" duration of a thesis is 3 years. However, a 4th registration (registration in D4) may be granted if duly justified.
Registration in D5 is a derogation and can only be granted in very rare cases. To apply for registration in D5, you must submit all the information required for registration in D4, as well as any documents that explain the reasons for the delay (employer's certificate, medical certificate, etc.). In addition, the letter from your thesis director must justify the reasons for the delay in your thesis work and include a detailed timetable with the foreseeable date of the defence.

The application procedure is the same as for D2 or D3, only the content of the application is different.

The deadline for re-enrolment applications is July 1 each year, except in the case of a re-registration for defense (see below).

Registration is done on ADUM. You must create a pdf file with the following documents:

  • Updated CV.
  • Progress report written by the doctoral student.
  • Letter from the thesis director attesting to the progress of the research work and specifying the defence prospects for the following year.
  • Request for exemption drawn up by the thesis director.
  • Miscellaneous: other information you wish to provide (at your discretion)

This pdf file must then be uploaded to ADUM as supporting documents for the doctoral school. You will then have to wait for successive validations from the ED secretariat, the thesis director, the lab director and the ED director.

You must also file in the dedicated spaces on ADUM:

  • The report of the individual monitoring committee, dated and signed.
  • Proof of funding.
  • Updated Individual Doctoral Training Agreement.
  • Co-supervision agreement (if applicable).

Special case of re-registration for defense between September and December.

If you defend your thesis between September and December of the academic year in which you registered, you can either re-register as normal following the procedure described above, or re-register following a simplified procedure known as re-registration for defense. In the case of re-registration for defense, the July 1 re-registration deadline does not apply. The procedure for re-registration for defense is as follows, in order:

  • Start the classic re-registration procedure by clicking on “I would like to re-register for the xth year of my doctorate” in your ADUM space.  Do not submit your re-registration request at this stage. If you do, we won't know that you're going to defend your thesis, and we'll treat your re-registration request as a classic re-registration request.
  • Start the defense request by clicking on “I want to submit my defense request” in your ADUM space. Complete the application form with all the required documents, then submit the application form.
  • Return to your re-registration application. You can put an empty pdf file as “supporting documents for the doctoral school" and as report of the individual monitoring committee. Include the old proof of funding (you are not obliged to have funding for the new academic year if you defend before December). Attach all other required documents, complete the application and submit it.

Validations of the defense and re-registration applications are proceeding in parallel. The doctoral school will validate the defense application first, then the re-registration application.
